Driver Vehicle Photo Privacy Notice

This notice explains how personal information submitted through the Driver Vehicle Photos application is collected, used, stored and shared.

The application is available to Myle Connect drivers, including drivers using independently arranged vehicles and vehicles supplied, rented or managed by TL Vehicles Ltd.

1. Who is responsible for your information?

Myle Connect Ltd

Myle Connect Ltd operates this application and is responsible for personal information used for driver administration, operational compliance, vehicle suitability, passenger safety, service standards and related business purposes.

TL Vehicles Ltd

Where a submission concerns a vehicle owned, supplied, rented or managed by TL Vehicles Ltd, TL Vehicles Ltd may also process the information for its own fleet-management purposes.

Myle Connect Ltd and TL Vehicles Ltd are separate legal entities. Each is responsible for personal information processed for its own purposes.

Information about an independently owned or arranged vehicle will not routinely be provided to TL Vehicles Ltd unless TL Vehicles has a legitimate involvement with that vehicle or the disclosure is otherwise necessary and lawful.

2. Information we may collect

The application may collect:

  • Your name;
  • Your driver badge number or internal driver reference;
  • Your vehicle registration;
  • Photographs of the vehicle;
  • Vehicle mileage;
  • Information about the vehicle's condition and cleanliness;
  • Information about damage, defects or dashboard warning lights;
  • The date and time of your submission;
  • A unique submission reference;
  • Notes or explanations you provide;
  • Limited technical and security information, such as an IP address, browser information and security logs; and
  • Records showing whether a required submission was completed, late, incomplete, approved or rejected.

Please photograph the vehicle only. You should avoid including passengers, members of the public, identity documents, payment cards, personal correspondence or unrelated belongings.

3. Why we use this information

Information may be used to:

  • Identify the driver and vehicle;
  • Verify that the vehicle is safe, suitable, clean and presentable;
  • Monitor compliance with driver, operator, contractual and fleet requirements;
  • Maintain evidence of the vehicle's condition;
  • Identify new or existing damage;
  • Monitor mileage, defects and dashboard warnings;
  • Arrange inspections, maintenance and repairs;
  • Investigate accidents, damage, insurance claims, complaints or disputes;
  • Protect passengers, drivers, vehicles and company property;
  • Maintain appropriate operational and audit records;
  • Administer driver and vehicle arrangements;
  • Confirm whether required photographs were submitted;
  • Respond to legal, regulatory or licensing enquiries; and
  • Establish, exercise or defend legal claims.

The photographs will not be used for unrelated marketing purposes without a separate lawful basis.

4. Our lawful bases

Depending on the circumstances, we may process this information because:

  • It is necessary to administer or perform a driver, participation, vehicle-use or rental agreement;
  • It is necessary for the legitimate interests of Myle Connect Ltd in operating a safe, reliable and compliant transport service;
  • It is necessary for the legitimate interests of TL Vehicles Ltd in managing, maintaining and protecting its fleet;
  • It is necessary to comply with a legal obligation;
  • It is necessary to protect the vital interests of an individual in an emergency; or
  • It is necessary to establish, exercise or defend a legal claim.

We do not rely on your consent for routine driver and vehicle photo processing where the processing is necessary for these purposes.

The acknowledgement displayed before submission confirms that you have read this notice. It is not a request for data-protection consent.

5. Who we may share information with

Where necessary and lawful, information may be shared with:

  • Myle Connect Ltd and relevant authorised staff;
  • TL Vehicles Ltd where the submission relates to its vehicles or operations;
  • The owner, funder, lessor or rental provider of the relevant vehicle;
  • Google Drive and other approved hosting, storage and technology providers;
  • Maintenance, recovery, inspection and repair providers;
  • Insurers, insurance brokers and claims handlers;
  • Accountants, solicitors and other professional advisers;
  • Customers or contracting authorities where evidence is reasonably required;
  • Private-hire licensing authorities;
  • The police, courts, regulators and other public authorities;
  • Emergency services where necessary; and
  • Other parties where disclosure is required by law or is necessary to establish, exercise or defend legal rights.

We will not sell personal information.

Access to submissions is restricted to people who require the information for legitimate operational, fleet, compliance, insurance or legal purposes.

6. Google Drive and technology providers

Vehicle photographs and related records may be stored using Google Drive and other approved systems used to operate the application.

These providers may act as processors on our instructions and may process information from locations outside the United Kingdom. Where an international transfer takes place, we will use an appropriate legal safeguard, such as an adequacy regulation or approved contractual protections.

Administrative credentials, access tokens and private Drive locations are not made available to drivers using the public upload page.

7. How long we retain information

Routine driver and vehicle submissions will generally be retained while the relevant driver, vehicle, contractual or fleet arrangement remains active and for a reasonable period afterwards.

Routine submissions that are no longer operationally relevant will normally be deleted within 24 months of the relevant arrangement ending.

Information connected with damage, an accident, complaint, insurance claim, dispute, legal matter or regulatory investigation may be retained for up to six years after the matter is concluded, or longer where reasonably required by law or an ongoing claim.

Technical security logs will normally be retained for no longer than 12 months unless they are required to investigate a security incident.

Information will be securely deleted or anonymised when it is no longer reasonably required.

8. Keeping information secure

Reasonable technical and organisational measures are used to protect information. These may include:

  • Restricted administrative access;
  • Password protection;
  • Encrypted connections;
  • Secure credential and token storage;
  • File-type and file-size validation;
  • Access logging;
  • Role-based access controls;
  • Approved technology providers; and
  • Procedures for managing security incidents.

No online system can be guaranteed completely secure. Drivers should report any suspected unauthorised access or accidental disclosure promptly.

9. Your responsibilities when uploading

You must:

  • Submit clear and accurate photographs of the correct vehicle;
  • Ensure the registration and driver details are accurate;
  • Avoid photographing passengers or members of the public;
  • Remove or obscure identity documents and payment information;
  • Avoid including unrelated personal belongings;
  • Report any accidental inclusion of personal information; and
  • Not upload unlawful, offensive, misleading or unrelated material.

Submitting another person's information or photographs deliberately and without authority may result in investigation or action under the applicable driver agreement or company rules.

10. Your data-protection rights

Depending on the circumstances, you may have the right to:

  • Ask for access to your personal information;
  • Ask for inaccurate information to be corrected;
  • Ask for information to be deleted;
  • Ask for processing to be restricted;
  • Object to processing based on legitimate interests;
  • Receive certain information in a portable format; and
  • Complain about how your information has been handled.

These rights are not absolute. For example, information may need to be retained where it is required for an insurance claim, contractual dispute, legal obligation or the establishment or defence of legal claims.

Myle Connect Ltd will act as the main contact for requests made through this application. Where a request relates specifically to TL Vehicles Ltd's fleet or rental processing, it may be referred to TL Vehicles Ltd. You may still exercise your rights against either relevant controller.

We may ask for information to confirm your identity before responding.

12. Automated decisions

The application may automatically record whether a submission was made on time, whether required fields were completed or whether files passed technical validation.

Decisions involving charges, suspension, disciplinary action or other significant consequences should not be made solely by the application without appropriate human review.

13. Cookies

The application may use essential cookies or similar technology required for security, administration and basic operation.

Essential technology does not require optional cookie consent. If analytics, advertising or other non-essential tracking is introduced, the privacy information and cookie controls must be updated before that technology is enabled.

14. Changes to this notice

This notice may be updated when the application, legal requirements or our processing arrangements change.

The current version and its last-updated date will always be displayed within the application.
